USEFUL TIPS FOR WRITING A BUSINESS LETTER

1.      Use a formal tone

o    Avoid contractions (use do not, not don’t).

o    Be polite, clear, and professional.

2.      Be clear and concise

o    State the purpose of the letter in the first paragraph.

o    Do not include unnecessary details.

3.      Use proper paragraphing

o    One idea per paragraph.

o    Normally 3–4 paragraphs are enough in exams.

4.      Follow the correct format

o    Marks are often given for format (address, date, salutation, closing).

5.      Use formal expressions

o    I am writing to inform you…

o    I would like to propose…

o    I look forward to your response.

6.      Avoid personal emotions

o    Business letters are objective, not emotional.

7.      Mind spelling and grammar

o    Errors reduce impression and marks.
