INFORMAL LETTER
Question:
Your friend is planning to visit your
city next month. Write a letter to your friend. In your letter:
- Express your excitement
about the visit
- Suggest some places
to visit
- Offer to help with
accommodation or arrangements
Answer (178 words):
Dear
Rina,
I
hope you're doing wonderfully! I was absolutely thrilled when I received your
message about visiting Kathmandu next month – I've been counting down the days
ever since!
There
are so many amazing places I'd love to show you. We simply must visit Swayambhunath
Stupa at sunset – the views are breathtaking. I'd also suggest exploring the
ancient streets of Patan Durbar Square; the architecture is genuinely
spellbinding. If you're up for it, we could even do a short hike to Nagarkot
for sunrise views of the Himalayas.
Please
don't worry about accommodation at all – you're more than welcome to stay at my
place. I have a spare room with a comfortable bed, and it would be wonderful to
have you here. Just let me know your flight details, and I'll pick you up from
the airport.
Write
back soon and tell me what kind of food you'd like to try – I'll make sure we
visit the best spots!
Lots
of love,
Priya

SEMI-FORMAL LETTER
Question:
You have recently moved into a new
apartment and have noticed that the parking area is being misused by some
residents. Write a letter to the building manager. In your letter:
- Introduce yourself and explain
the problem
- Describe how this is affecting
residents
- Suggest what action should be
taken
Answer (185 words):
Dear
Mr. Sharma,
I
am writing with regard to the parking facilities at our apartment complex. My
name is Anjali Thapa, and I recently moved into Flat 3B on the ground floor.
I
have noticed that several residents are parking their vehicles in the
designated visitor parking spaces for extended periods, sometimes for days at a
time. Furthermore, some motorcycles are being parked haphazardly near the main
entrance, which creates obstruction for elderly residents and families with
young children. This issue becomes particularly problematic during peak hours
when genuine visitors struggle to find any available space.
I
would like to suggest that clear signage be installed indicating time limits
for visitor parking. Additionally, it might be beneficial to send a circular to
all residents reminding them of the parking regulations. Perhaps a small fine
system could be introduced for repeat offenders to discourage this behaviour.
I
would be most grateful if you could look into this matter at your earliest
convenience. Please let me know if I can be of any assistance.
Yours
sincerely,
Anjali

SAMPLE 3: FORMAL
LETTER
Question:
You recently purchased a laptop online
that arrived with a damaged screen. Write a letter to the company's customer
service department. In your letter:
- Provide details
about your purchase
- Explain the problem
with the product
- State what action
you expect them to take
Answer (190 words):
Dear
Sir/Madam,
I
am writing to formally register a complaint regarding a laptop I purchased from
your online store on 15th October 2024. My order number is #LN78932, and I paid
a total of $1,200 for this product.
Upon
receiving the delivery yesterday, I was extremely disappointed to discover that
the screen had multiple visible cracks and a large dead pixel area. The packaging
appeared undamaged externally, suggesting that the device was dispatched in
this defective condition. This is particularly concerning as the laptop was
intended for my professional work, and I am now unable to use it for important
upcoming deadlines.
Given
these circumstances, I respectfully request either a full refund or a
replacement with a brand-new unit of the same model. Additionally, I would
appreciate guidance on how to return the defective item without incurring
additional shipping costs.
I
trust that your organisation values customer satisfaction and will resolve this
matter promptly. Kindly confirm receipt of this letter and inform me of the
next steps within seven working days.
Yours
faithfully,
Rajesh

You recently went on a holiday with your
family and stayed at a hotel. Write a letter to your friend recommending this
hotel. In your letter:
- Describe the hotel and its
location
- Explain what you liked about
the hotel
- Suggest why your friend should
stay there
Answer (186
words):
Dear
Amit,
I'm
writing to you from the comfort of my living room, still daydreaming about our
incredible family holiday to Pokhara last week! We stayed at the Lakeside
Retreat Hotel, and honestly, it was absolutely heavenly – I simply had to tell
you about it.
The
hotel is perfectly situated right on the banks of Phewa Lake, offering stunning
panoramic views of the Annapurna range. Our room had a beautiful balcony where
we'd sit every morning, sipping tea and watching the fishermen glide across the
misty water. The staffs were incredibly warm and welcoming, and the
complimentary breakfast buffet was a delightful spread of both continental and
local delicacies.
What
truly won us over was the serene atmosphere – despite being close to the main
tourist area, the hotel grounds felt like a peaceful oasis. They also arranged
a wonderful boat ride for us, which became the highlight of our trip. I
honestly think you and your family would adore this place, especially since I
remember you mentioning how much you enjoy lake views.
Do
consider this for your next vacation – I promise you won't regret it!

Question:
You are a resident of an apartment block
and have noticed that the common garden area is not being maintained properly.
Write a letter to the building supervisor. In your letter:
- Introduce yourself and explain
your concern
- Describe the problems you have
observed
- Suggest what actions should be
taken
Answer (189
words):
Dear
Mr. Gurung,
I
am writing to bring to your attention a matter concerning the maintenance of
the communal garden located behind Block C. My name is Sunita Rana, and I have
been a resident of Apartment 12B for the past three years.
Recently,
I have observed that the garden has fallen into a rather neglected state. The
grass has grown excessively long, and several flower beds are now overrun with
weeds. Additionally, the benches near the fountain have become rusty and
unstable, which poses a potential safety hazard for elderly residents and young
children who frequently use this area. I have also noticed that the water
feature has not been functioning for the past two weeks.
I
would respectfully suggest that a professional gardener be hired to restore the
garden to its former standard. Furthermore, it might be prudent to establish a
regular maintenance schedule, perhaps on a fortnightly basis. I would also
recommend that the benches be repaired or replaced before any accidents occur.
I
would be most grateful if you could look into these matters at your earliest
convenience. I remain available to discuss any proposed solutions.
Yours
sincerely,

Question:
You are planning to organise a community
event in your neighbourhood. Write a letter to the local community centre
manager. In your letter:
- Explain what event you are
planning
- Describe why this event would
benefit the community
- Request permission to use the
centre's facilities
Answer (193
words):
Dear
Ms. Thapa,
I
hope this letter finds you well. I am writing to request permission to use the
community centre's main hall for a cultural festival I am planning for our
neighbourhood.
The
event, which I have tentatively named "Unity Through Culture," is
scheduled for the last weekend of next month. The programme will feature
traditional music performances, dance workshops, and food stalls showcasing the
diverse cuisines of our local residents. I am also planning to include an art
exhibition highlighting the work of young artists from the area.
I
genuinely believe this festival would foster greater cohesion among our
community members. With so many new families moving into the neighbourhood
recently, this would provide an excellent opportunity for residents to
interact, share their cultural heritage, and build meaningful connections.
Moreover, I intend to keep the event entirely free of charge to ensure maximum
accessibility.
I
would be immensely grateful if you could grant us permission to use the main
hall, kitchen facilities, and the outdoor courtyard. I assure you that we will
handle all cleaning and setup responsibilities ourselves and adhere strictly to
any regulations you may have.
I
look forward to your favourable response and would be delighted to discuss any
further details at your convenience.

You recently ordered a piece of
furniture online which arrived damaged. Write a letter to the customer service
department of the company. In your letter:
- Provide details about your
order
- Describe the damage and
explain why this is unacceptable
- State what action you expect
the company to take
Answer (190
words):
Dear
Sir/Madam,
I
am writing to formally lodge a complaint regarding a wooden bookshelf I recently
ordered from your company through your official website. The order number is
#BK54821, and the transaction was completed on 2nd November 2024 at a total
cost of $250, inclusive of delivery charges.
The
item was delivered on 5th November, and upon inspection, I was dismayed to
discover that the top shelf bore a lengthy scratch across its surface,
measuring approximately 15 centimetres in length. Additionally, one of the side
panels had a noticeable crack near the joint, which compromises the structural
integrity of the entire unit. The outer packaging exhibited no visible signs of
damage, leading me to conclude that the product was dispatched in this
defective state.
Given
that the item was intended as a birthday gift and I now find myself without a
present for the occasion, I consider this situation entirely unacceptable.
Consequently, I respectfully request either a full refund or an immediate
replacement with a brand-new, undamaged unit. Furthermore, I request that the
defective item be collected from my residence without any additional financial
obligation on my part.
I
trust that your company values its reputation for quality and will address this
matter with the urgency it deserves. Kindly respond within seven working days
outlining your proposed resolution.
