On a recent holiday you lost a valuable item. Fortunately, you have travel insurance to cover the cost of anything lost.

Write a letter to the manager of your insurance company. In your letter

•      describe the item you lost

•      explain how you lost it

•      tell the insurance company what you would like them to do.

Dear Sir/Madam

I am writing to inform you that I recently lost my digital camera while on holiday in Vietnam.

The camera is a black Canon 70d and cost $1550 when I bought it new last month. It has a resolution of 20 megapixels, a Canon 67-millimeter lens and was in a brown leather case with my name on it.

I lost it when I was having coffee with my husband in the backpacker area of Ho Chi Minh City. I believe the coffee shop was called Highlands Coffee and it was on Pham Ngu Lao Street. We had been at the coffee shop for around 45 minutes when I noticed it was missing.

I am entitled to make a claim for the value of the above-mentioned item and request that you send me details on what I need to do in order to proceed.

I look forward to hearing from you at your earliest convenience.

Yours faithfully

You are due to start a new job next week but you will not be able to because you have some problems.

Write a letter to your new employer. In your letter

• explain your situation
• describe your problems
• tell him/her when you think you can start.

You should write at least 150 words.
You do NOT need to write your own address.

Begin your letter as follows:

Dear ...............,

Dear sir/madam,

I am writing concerning the position of Assistant Office Manager that I am due to begin next Monday. However, a problem has arisen.

As you know, I currently work for my uncle's food-packing business, and you will remember from my interview that I have gained valuable experience there. Unfortunately, he has had to go into hospital for an operation, leaving my aunt in charge of both the home and the business. She has asked me, as this is a particularly busy time of year, to stay on and help her with the running of the office. I realize this will be inconvenient to you, but very much hope that, given the circumstances, you would be prepared to allow me to take up my position with you two weeks later than planned. I would like to emphasize that I remain very keen to work with you, and that I will be gaining further useful experience during this time.

I look forward to hearing from you.

Yours sincerely,
John Forbes

You have been offered a job, asking you to start next week. You want the job very much but, because of a previous commitment, you want to delay the start for another two weeks.

Write to the manager, accepting the job, but explaining your situation and asking for a change to your start date.

You should write at least 150 words.

Begin your letter as follows:

Dear Sir or Madam,

Sample Answer 1:

Dear Sir or Madam,

I am absolutely honoured to learn from your email that you have finalised my joining as an executive in your company. I consider it a great leap forward towards my future career, and I will serve my position with my best effort. However, I am writing to seek your permission for a delay in the joining date.

I am afraid I cannot join on 15th June, the date you expect me to start. After I formally notified my current employer a month ago, they welcomed my decision. However, they have recently requested an extension to hand over the projects I am currently working on and train a colleague. I am already committed to a project with my current employer and I will need another week to finish it. Thus, the new request from my manager forces me to work another two weeks with them.

Therefore, I would request you to delay my joining date and I am absolutely positive about starting with you from the 1st of July. I hope you will allow me to finish my commitment to my current employer and let me join your company on 1st July.

I look forward to hearing from you.

Yours faithfully,

Daren Smith

Dear .......................,

Model Answer :

Dear Ben,

I hope you’re doing great! The other day you were talking about an excellent restaurant you visited, and I was wondering if it might be a good place for my birthday party next week.

I’m planning a small gathering with close friends, and I want to celebrate in a place with great food and a nice atmosphere.  Could you please let me know the name of the restaurant and how to get there? Since we’re in London, I’d love to know if it’s easily accessible by public transport. I'd also be interested in knowing if car parking is available nearby as some of my friends would love to drive their cars. Also please give me their Facebook or Google Business Page addresses so that I can contact them.

Please do come to the party. I’d also love to hear more about the type of cuisine they serve. Do they have any standout dishes you’d recommend? If you have any personal favourites from the menu, I’d love to know so I can check them out in advance.

I look forward to hearing from you.

Yours Faithfully,

You recently bought some train tickets for a journey a week in advance. When you went to the station to catch the train, you were told you could not use the tickets and the staff were very unhelpful to you.

Write a letter to the train company. In your letter,

·         describe the problem you had with the tickets

·         say why you were unhappy with the staff

·         suggest what action the train company should take

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Dear Sir or Madam,

Model Answer 1:

Dear Sir or Madam,

I am writing to formally complain about an issue I faced while attempting to travel with your company a week ago.  I hope you will take the necessary actions to address the issue and make sure it does not happen in the future.

In relation to the problem that I faced, on 5th February, I purchased three train tickets online for a journey from Manchester to London on 11th February. However, upon arriving at the station with my parents, I was informed that our tickets were invalid, despite having received confirmation at the time of purchase. The explanation from your staff was vague and I was not given a clear reason why our tickets were not valid for the journey!

What disappointed me even more was the unhelpful attitude of the staff. Instead of assisting me in resolving the issue, they simply stated that I could not board the train and made no effort to explain the reason behind it. Their dismissive behaviour left me and my parents feeling frustrated and stranded, especially as we had important commitments in London that day.

Given this inconvenience, I kindly request a full refund for our unusable tickets and proper compensation for the situation. Additionally, I urge you to provide better staff training in customer service to ensure passengers receive appropriate support in such situations.

I look forward to your prompt response.

Yours faithfully,

Eva Watson

Sample 4

You should spend about 20 minutes on this task.

You have learned from a news article that a real estate company is going to build a shopping centre near your home. However, you think that the shopping centre should not be built there.

Write a letter to the city counsellor. In your letter,

·         say how you have learned about the plan

·         explain how it is going to negatively affect the residential area where you live

·         say what you think the city council should do about it

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Dear Sir or Madam,

Model Answer:

Dear Sir or Madam,

I am a resident of Woodley in Berkshire, and I have decided to write this letter after reading a recent news article about the plan to build a shopping centre in our residential area. Needless to say, we do not really like this idea, and I hope that you would take the necessary initiatives to halt this project which would otherwise disrupt the peaceful lives of the residents.

Our residential area is already over-populated, with not enough streets and parking spaces. Of course, the shopping centre will have its own parking spaces, but sometimes, those parking spaces just might not be enough to accommodate all the cars. And if that is the case, the mall visitors most likely would park their cars in our streets and parking spaces, making our streets even more crowded. The commotions, businesses and people would make our peaceful residential area worse to live in.

Another problem is that our residential area has a sizable, college and university-going, young population who, most likely, would start wasting their time in the shopping centre in the name of socializing and having fun, instead of focusing on their studies.

These are just some of the possible negative effects, but they should be good enough to convince you to relocate this shopping centre to a commercial area, away from any residential areas.

Thank you in advance.

Yours faithfully,

Keith Marshall

You should spend about 20 minutes on this task.

You have been staying in a foreign country for the last two years, and your visa is about to expire next June. However, you are planning to take a three-months professional course. You will need a visa extension.

Write a letter to the consular in the embassy and ask for an extension on your visa.

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Dear Sir or Madam,

Model Answer:

Dear Sir or Madam,

I am an international student in the United Kingdom, and I came on a student visa about two years ago from India. Since then I have been living in this great country and studying to finish my post-graduation degree. If everything goes fine with my studies and according to the schedule, I should be able to complete my degree in Civil Engineering this coming June, which is only a few months away from now. So, no problem there, and I would like to thank you again for that.

But, then, I am also thinking of continuing my education for another three months after finishing my post-graduation degree except, of course, the problem is, my visa is going to expire as soon as I finish my degree. By the way, I want to use these additional three months in pursuing a professional diploma course in “AutoCAD” since it very much aligns with my ambition to prepare myself as a fine Engineer.

Now that you know why I want to stay another three months in your country, I would highly appreciate it if you grant me a visa extension for that period.

Yours faithfully,

Chetan Singh

Sample 6

You should spend about 20 minutes on this task.

Your company has recently introduced a new uniform for the staff. But you have learned that the staff members are not happy about it.

Write a letter to your manager about it. In your letter,

·         explain why you think the staffs are not happy with the new uniform

·         what you want the new uniform to be like

·         and give some suggestions to handle the situation

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Dear Sir or Madam,

Model Answer 1:

Dear Sir or Madam,

I am a Senior Executive at our company, and I am writing this letter to say a few words about the new uniform code of our company which, I do not think, is exactly appreciated by many of our company staff.

The problem is that the majority of the staff of our company think that a new uniform code is just a waste of time and money because it does not really help increase our productivity in any way.  Besides, they are also saying in private that they are not willing to accept this new uniform code because they think that the colours of the dresses are too “generic” and do not quite go along with the prestige and reputation of our company.

So, now that we know why the staffs are not ready to approve this new uniform code, the management can actually suggest a different colour code (could be more than just one colour as long as they are “unique”). Not only that but also the company can make an offer to pay for the making charges of the uniforms to make this new uniform proposal even more appealing to them.

I hope you will consider my opinion and suggestions.

Yours faithfully,

Sofie Sony

Sample 7

You should spend about 20 minutes on this task.

You have bought some clothing online and are not satisfied with your purchase.

Write an email to the company that you bought the clothing from. In your email,

·         give details of the purchase

·         describe the problem

·         explain why you need a replacement urgently

Write at least 150 words.

You do NOT need to write any addresses.

Begin your email as follows:

Dear Sir or Madam,

Model Answer 1:

Dear Sir or Madam,

Last week I bought some t-shirts and trousers from your online store, but I just do not think that I am fully satisfied with the purchase I made. The purchase included four t-shirts and three pairs of trousers which I was planning to use later as my summer outfits. I used my credit card to pay for those clothing items, and the online receipt number is GA- 5487.

Two of the t-shirts were supposed to be of a round-neck collar while the other two were supposed to have a regular collar. But, when they arrived, I found all of those t-shirts to have round-neck collars. Not only that but also they were not in the colours that I chose when ordering them.  In fact, I wanted two of them to be of light navy blue colour and the remaining two black, but they all came out to be regular blue, instead. As for the trousers, two of them seem to be smaller sizes than what I actually ordered.

So, please replace them at your earliest convenience because I do not really have any decent summer dresses to use this coming summer. If I do not hear from you within the next seven days, I would be forced to lodge a complaint to the "Consumer Rights Commission" office.

Thank you in advance.

Yours faithfully,

Amal Buksha

Model Answer 2:

Dear Sir or Madam,

I purchased an M-size blue woollen sweater from your online store (Order # E1208750) on February 20th. The item was delivered to me on February 24th, but unfortunately, I am not satisfied with the product that was delivered to me. I am hoping that you will replace the product urgently.

The issue with the sweater is that it is a different colour and size from what I ordered. Instead of the blue medium-sized sweater, I received a black sweater in size L. Since I specifically ordered a blue medium-size sweater, that must be a mistake made by one of your staff.  I ordered the sweater for an upcoming event next week, so, I urgently require a replacement.

I kindly request that you arrange for the correct item to be sent to me as soon as possible. Please let me know how to proceed with returning the incorrect item.

I appreciate your prompt attention to this matter. Looking forward to your response.

Yours faithfully,

Amelie Tennyson

You should spend about 20 minutes on this task.

You visit a sports centre regularly, and there is a problem with the changing rooms in it. You have complained about it several times but with no success.

Write a letter to the manager of the sports centre. In your letter,

·         describe what the problem with the changing rooms is

·         say what happened the last time you complained

·         explain what you want the manager to do

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Dear Sir or Madam,

Model Answer:

Dear Sir or Madam,

In recent weeks, we have found some issues with your otherwise well-managed sports centre, and I just thought that it was the time to bring those problems to your attention to ensure the reputation of your famous sports centre and the comfort of its users.

Now, let me explain the issues one by one. The first issue is that some of the doors of the changing rooms do not lock properly - probably because the lock systems have worn out or become old due to excessive use. Another problem is that sometimes, a foul smell hits us as soon as we enter those rooms either because they are not cleaned properly or do not get properly “deodorized”.

Of course, I have already complained to the supervisor, in charge of the maintenance of your sports centre, a couple of times, but it looks like the issues have not exactly been addressed or solved. The last time I complained to him was two months ago, and despite his promise to fix the issues, nothing significant has been done.

Therefore, I would appreciate it if you take the necessary steps to solve the problems, mentioned above, at your earliest convenience so that we all can get back to enjoying our time at your establishment, again, like we always did in the past.

Yours faithfully,

Miranda Blake

A magazine wants to include contributions from its readers for an article called 'The book that influenced me most’.

Write a letter to the editor of the magazine about the book that influenced you most. In your letter,

·         describe what this book was about

·         explain how this book influenced you

·         say whether this book would be likely to influence other people

Write at least 150 words.

You do NOT need to write any addresses.

Begin your letter as follows:

Dear Sir or Madam,

Model Answer 1:

Dear Sir or Madam,

A recent announcement in your magazine for an upcoming article of yours, titled “The book that influenced me most”, has motivated me to write a few words about a book that had influenced my thoughts very significantly. The name of the book is "My Journey to a Bigger Journey".

The book was about how a person from a very “humble” family background eventually became the president of a country. It was more like a “biography”, and the author, and also the main character in the book, so beautifully wrote about his struggles and life experience before reaching the pinnacle of success. The book also has many motivating stories and pieces of useful advice.

Until I read the book, I had a habit of virtually blaming anything and everything around me for the bad or negative things that were happening to me. As a result of this, I couldn’t really see my own shortcomings or my faults that were hindering my success. But, after reading that book, I finally got a chance to look at myself – my own negative thoughts and behaviour problems that are – and thereby changing my overall outlook on the world and people around me.

So, it was a great book indeed, and if it could change a negative person like me, it sure could change many others as well.

I hope you would mention this book in your article.

Yours faithfully,

Anjali Prabhakar

Model Answer 2:

Dear Sir or Madam,

I recently came across your request for readers' contributions for the article ‘The Book That Influenced Me Most’, and I would love to share my experience with a book that had a profound impact on my life—"To Kill a Mockingbird" by Harper Lee.

This novel, set in the American South during the 1930s, follows the story of a young girl named Scout Finch as she navigates issues of racial injustice, morality, and compassion. Through the eyes of Scout, the reader witnesses her father, Atticus Finch, defend an innocent black man falsely accused of a crime. The book powerfully addresses themes of prejudice, empathy, and standing up for what is right.

Reading this book deeply influenced my perspective on social justice and the importance of treating others with kindness and fairness. It taught me that true courage is not about physical strength but about standing by one’s principles, even in the face of adversity. Since reading it, I have become more conscious of fairness and inclusivity in my daily life.

I strongly believe that To Kill a Mockingbird has the power to influence other readers in the same way it influenced me. Its messages remain relevant in today’s world, encouraging people to challenge discrimination and develop empathy for others. I would highly recommend it to anyone looking for a book that can change their outlook on life.

Thank you for considering my contribution. I look forward to reading the article.

Yours faithfully,

Edith Redford

Model Answer 3:

Dear Sir or Madam,

I am delighted to notice that your magazine has invited readers to share their thoughts on the book that influenced them the most. For me, that book is 'The Diary of a Young Girl' by Anne Frank.

This deeply moving diary offers a firsthand account of Anne’s life as a Jewish teenager hiding from the Nazis during World War II. Her reflections on fear, hope, love, and human resilience are profoundly touching. What makes her story even more powerful is her ability to find beauty in small moments despite the horrors surrounding her.

Reading this book changed my perspective on life. It taught me the importance of gratitude, optimism, and standing up against injustice. Her words, so full of wisdom and maturity beyond her years, made me appreciate the freedoms I often take for granted. I now strive to approach life with more kindness and empathy, inspired by Anne’s unwavering belief in the goodness of people.

This book is not just a historical account; it is a testament to the resilience of the human spirit. It has the power to influence anyone who reads it, regardless of age or background. I strongly believe that if more people read Anne’s diary, the world would be a more compassionate place.

Thank you for considering my contribution.

I hope more readers will discover this remarkable book through your article.

Yours faithfully,

Summer Lancaster

On a recent holiday you lost a valuable item. Fortunately, you have travel insurance to cover the cost of anything lost.

Write a letter to the manager of your insurance company. In your letter:
• Describe the item you lost
• Explain how you lost it.
• Tell the insurance company what you would like them to do.

Dear Sir or Madam,

I am writing in connection with a laptop I lost last weekend which was under the travel insurance with your company.

That was the ‘HP’ brand laptop which I bought last month with a price of USD 650.00. It was black colored and with the latest i-7 core processor technology covering 2 years of warranty.

I have visited Goa to spend my yearly holiday along with my entire family member. The laptop was stolen from my hotel room where we were at sea beach. It is to be mentioned here that the room was locked during that time. After returning I found myself in this unpleasant situation and contacted to the hotel authority immediately and made a serious complaint. Moreover, I have made a General Diary to the nearest police station for the same reason. The copy of the GD is enclosed here.

Therefore, I request you to properly investigate the matter and arrange to pay the claimed amount under insurance by a cheque at an early date so that I can purchase a new one. Your early action in this regard will be highly appreciated.

Yours faithfully,

You travelled by plane last week and your suitcase was lost. You have still heard nothing from the airline company.

Write to the airline and

• explain what happened
• describe your suitcase and tell them what was in it
• find out what they are going to do about it

Dear Sir / Madam,

I am writing to you regarding my suitcase, which was lost on the British Airways flight from London to New York (BA123) on January 2nd. When I realized the loss on my arrival in New York I reported it to the counter staff. The agent promised to give my hotel a call within the next hours, but unfortunately this did not happen. I have contacted British Airways numerous times since by phone without being able to locate the suitcase.

My suitcase is made of dark blue fabric with black handles and a single. It contains clothing, presents for friends I will visit and photographic equipment I was planning to use on my trip. I already had to buy some cloths and toiletry for which I attached the receipt to this letter expecting you to refund my expenses.

I hope this matter can be resolved very soon as I plan to continue my trip to California on the 7th of January and will no longer be able to pick up the suitcase in New York after this date. You can reach me on my mobile 123456789.

Dear Sir/ Madam,

Dear Sir or Madam,

I am writing this letter to let you know how pleased I and my friends are after celebrating my friend’s 27th birthday at your restaurant.

By the way, we were planning to celebrate my friend’s birthday at another place, but we had to change our plan at the eleventh hour for some reason. But, after coming to your restaurant and seeing how you have flawlessly planned for the birthday, I am so glad that we actually went to your place.

Anyway, the seating arrangement for so many guests was just perfect. The foods and desserts were just outstanding as they tasted like they were so fresh and right out of the oven. In fact, I would never forget the chewy taste of those mushrooms which were cooked with Italian pasta. And, as for the services, all of your staff members were courteous and professional, and some of them even went out of their ways to write few poetry lines to cheer up our birthday boy.

So, all in all, we all had a great time at your restaurant, and we sure would like to come back again in future.

Yours faithfully,
Shyam Sunder
